Job Role :  Purchase Officer in a school is responsible for managing the procurement of goods and services required for smooth school operations, including stationery, teaching materials, furniture, equipment, and other supplies. The role ensures cost-effective purchasing, timely delivery, quality compliance, and proper record-keeping. The Purchase Officer collaborates with school management, vendors, and staff to support operational efficiency and maintain transparency in procurement processes. 

Key Responsibilities : 

  • Identify and evaluate vendors for goods and services required by the school
  • Prepare and process purchase orders in accordance with school policies
  • Ensure timely procurement and delivery of materials
  • Negotiate prices, terms, and contracts with suppliers
  • Maintain inventory records and monitor stock levels
  • Inspect and verify received goods for quality and quantity
  • Coordinate with school departments to understand their requirements
  • Maintain accurate procurement documentation and reports
  • Ensure compliance with procurement policies and regulations
  • Follow up on pending orders and resolve supplier-related issues
  • Assist in budget planning and cost control for purchases
  • Support audits and provide procurement records as required
